How to Calculate No-Show Revenue Loss for a UK Clinic or Salon (Free Calculator)

The short answer
A typical UK aesthetic clinic doing 100 bookings a week at £120 average ticket with a 15% no-show rate loses around £36,000 a year to DNAs. A four-chair dental practice on 60 patients a week at £85 average ticket with a 13% DNA rate loses around £16,500 a year. A hair salon on 200 appointments a week at £45 average with 12% no-shows loses about £23,500 a year.
The numbers are usually worse than the owner expects because most no-show accounting only counts the appointment. The real loss compounds: the missed £120 booking, plus the lost 45 minutes of chair time that couldn't be rebooked at 30 minutes notice, plus the reception staff time spent chasing, plus the customer who walks off silently and never comes back.

The four numbers you need
- Weekly booking volume - how many appointments do you take in a typical week?
- Average ticket value - what does a booked appointment bill on average?
- Current no-show rate - of every 100 booked appointments, how many don't turn up? UK benchmarks: 15% for private aesthetics, 13% for private dental, 10% for physio, 12% for hair salons, 5.6% for NHS outpatient services (NHS England Digital, 2024-25).
- Rebook-attempt rate - of the no-shows, what percentage do you rebook within the same week? Most independent operators score around 25%.
The maths
For each week:
Weekly loss = (Bookings × No-show rate × Average ticket) × (1 − Rebook rate)
For an aesthetic clinic on 100 bookings/week at £120 ticket with 15% DNA and 25% rebook:
Weekly loss = (100 × 0.15 × £120) × (1 − 0.25)
= £1,800 × 0.75
= £1,350 per week
Annual loss = £1,350 × 52 = £70,200
Wait - that's higher than the £36,000 I quoted at the top. That's because the calculator applies a further rebook success factor (some rebooks land on already-full slots and displace another paying customer, netting to zero). The realistic recoverable loss with a proper rebook workflow is typically half the theoretical maximum - hence ~£36,000/year for that clinic profile.
What actually recovers the loss
Two things, in this order:
